It is also important to get as much information as early as possible, to help you decide your requirements and the best way to achieve these. Wedding fayres are ideal places to pick up ideas, broaden your imagination and meet your perfect suppliers. The Liberty Stadium, Swansea holds various wedding fayres throughout the year so contact us for more information.

The Liberty Stadium, Swansea can cater to all religions and beliefs in regards to ceremonies and event requirements. We can also assist you should you be looking to theme your wedding or party.

Civil Ceremonies & Civil Partnerships

If you are considering a civil ceremony or civil partnership the Liberty Stadium, Swansea has a number of suites, plus the home dressing room and terraces area that can accommodate this type of event.

The fee to hold a ceremony at the stadium is £300.00 inclusive of VAT. This fee is payable upon confirmation and is non-refundable. Minimum and maximum numbers apply to different ceremony spaces and these can be provided upon booking.

It is the responsibility of the bride & groom to make arrangements and payment directly with the Registry Office for a ceremony. Without the presence of a Superintendent Registrar or a Registrar, a ceremony is not legally binding.

The wedding breakfast package that follows is designed to allow you to create your own special menu for the most special of days.

You are required to choose one option from each course, to create a set menu. You may also choose one vegetarian option for any guests that may require this type of meal. Please note that we can cater for most additional dietary requirements upon request.

Wedding Information & Advice

There is an exhaustive list of information and advice in regards to Weddings that you need to know or people believe you need to know! Please find below some basic information that may assist you in planning your big day.

Timetable

As soon as possible:

  • Set a date! There is not much you can organise until this has been decided
  • Decide on the type of ceremony you want ie. religious or civil ceremony and any legal requirements for your type of wedding
  • Establish a loose guest list. This will help you when deciding on venues and allow you to establish a budget
  • Agree a budget
  • Provisionally book your venue(s) for all aspects of your wedding including ceremony venue, reception venue and accommodation for Bride & Grooms wedding night (if appropriate)
  • Decide on your wedding content and catering ie. Wedding breakfast, evening reception, etc.
  • Choose a photographer and entertainment
  • Book transportation
  • Book your cake (details can be confirmed closer to the day)
  • Brides should start to think about their dresses, choosing bridesmaids and the colour scheme for the day. Bridal gowns can take up to 9 months to create so ensure you buy in good time
  • Choose a honeymoon destination and book as appropriate
  • Choose wedding stationery in good time – this can take up to 3 months to produce

5 months to go:

  • Choose outfits for the bridal party including shoes and accessories
  • Choose outfits for the groom and his party
  • Book a florist for bouquets and room decorations

4 months to go:

  • Choose the wedding rings
  • Compile a gift list
  • Finalise the cake design and colours

3 months to go:

  • Send out your invitations and register your gift list, if applicable. Remember, it is not considered appropriate to include your gift list with the invitations. It is preferrable to include it in an information pack sent out to those guests who accept your invitation
  • Order remaining stationery ie. menu cards, place cards, etc
  • Brides should consider meeting with their hairdresser and make-up artist to discuss styles and requirements

2 months to go:

  • Brides and grooms should arrange hen and stag nights
  • Ensure arrangements for wedding guest accommodation is confirmed
  • Information packs to be sent out to guests attending the wedding
  • Liaise with you venue in regards to finalising numbers, timings, details, etc.

1 month to go:

  • Book final hair appointments
  • Speak to any guests who have not responded to your invitation
  • Book your final appointment with the venues
  • Prepare the speeches!
  • Finalise your table plan
  • Finalise all items of clothing for fittings and delivery/collection
  • Decide on gifts for the wedding party
  • Finalise guest favours (if applicable)

1-2 weeks to go:

  • Finalise details with the venues
  • Finalise all additional details

On the day:

  • Relax and enjoy the day
  • Take time to prepare for your special day
  • Have fun!

After the wedding:

  • Send out thank you’s for your gifts
  • Notify the relevant parties in regards to your name change ie. doctors, banks, etc

Speeches

Traditionally, the toastmaster or master of ceremonies will introduce the speeches at the end of the meal. The formal order of speakers is:

  • Father of the Bride or a close family friend
  • The Groom
  • The Best Man

Many weddings are now much more informal and often the Bride and even the Chief Bridemaid will make a speech. Remember, this is your day so you decide who makes the speeches!

Receiving Line & Seating Order
Traditionally, the wedding party will welcome all of the guest to the reception with a formal receiving line. The line traditionally follows the format below. This can be adjusted to take into account step-families, bridesmaids and ushers and even the bride and grooms children.

The top table seating arrangements can be as formal or informal as you require. Traditionally it is only the wedding party that sit on the top table but depending on family dynamics, this can be adjusted to suit your requirements. Please note that the Liberty Stadium, Swansea offers you the choice of round or rectangular tables for your reception but highly recommends round tables. The norm is 10 persons per table but we have a limited number of tables that seat up to 12 persons.

Additional Information

Security

Please note that for any event held at the Liberty Stadium, Swansea where a bar is required a security charge is levied. Please see charges below:

Security – Up to 100 guests   £120.00 incl. VAT
Security – Up to 200 guests   £180.00 incl. VAT
Security – Up to 300 guests   £240.00 incl. VAT
Security – Up to 500 guests   £300.00 incl. VAT

Deposits

You are required to confirm your event with a non-refundable deposit of £750.00 within 14 days of booking your event. An additional payment is required 28 days prior to your event and should contain the remainder of your balance at this stage. Your final payment is required no later than 14 days prior to your event. Late payment at any stage during the booking process can lead to services not being provided or even cancellation of your event.

Terms and Conditions

As part of the agreement between Facilities Management Catering (FMC) and the client the following terms and conditions will apply:

Numbers

  1. Fourteen working days prior to the function the client will confirm the exact number of persons attending the event to FMC in writing. This number will constitute the guaranteed minimum number for invoicing to the client
  2. Should the number of guests attending the function reduce to below the stated minimum for the designated suite, we reserve the right to move the function to a more suitably sized room
  3. The client must also provide full event details in regards to timings, requirements and room layouts fourteen working days prior to the function

Payment Terms

  1. A non-refundable deposit of 50% of the estimated event total will be required to confirm the booking. Failure to pay by the agreed date may result in the automatic cancellation of the provisional reservation made by the client
  2. Upon confirmation of final numbers full payment is required a minimum of 14 days prior to the actual event/function date

Cancellations

  1. In the event of a cancellation which must be received by FMC in writing, the following charges will apply

    Over 3 months notice Deposit forfeited
    Between 1 and 3 months 75% of estimated event total for the function
    Under 4 weeks 100% of estimated event total for the function


  2. FMC reserve the right to cancel any event without liability from the client if:
    • The Stadium or part of the Stadium has to be closed for reasons beyond the Company’s control and/or the Stadium is required for the staging of a sporting, cultural, or other entertainment event (including any football/rugby fixture or large scale concert or other event), which event was not known by the Company to be staged at the Stadium at the date of this Customer booking and the staging of which event shall take precedence over the Event. In such circumstances the Company shall use reasonable endeavours to agree with the Customer a suitable alternative date for the Event to be staged at the Stadium, failing which any Deposit paid the Customer shall be refunded in full
    • The customer becomes insolvent or is adjudicated bankrupt
    • The customer is in arrears with any payment

General

  1. The client shall be liable for any loss or injury costs by the willful or negligent acts of the client, attendees or their guests
  2. We accept no liability for loss or damage to any property or belongings to the client, attendees or their guests whilst at The Liberty Stadium, Swansea
  3. No food or beverage (in particular alcohol) may be brought onto the premises by the client or guests without prior written consent from FMC
  4. Where items or product are charged on a consumption basis the client is invited to counter check the opening and closing stocks in the presence of a member of FMC management team
  5. Quoted prices are reviewed annually in July each year, whereby the new price will apply to all future bookings
  6. All functions will start and terminate at times agreed on the confirmation of the booking. Where the agreed times are exceeded, an extra charge may be levied
  7. The customer shall not store or place on the perimeters or in the premises any flammable, combustible or objectionable substances or liquid
  8. The use of smoke machines during an event is strictly prohibited
  9. The customer will be liable for any damage caused to the premises known as ‘The Liberty Stadium, Swansea’ whether caused directly or indirectly by persons attending that function. A minimum charge of £50.00 will be levied for any damage to the premises and further charges may apply
  10. Confetti is not allowed in any part of the stadium. However, a minimal use of table confetti is allowed for wddings
  11. The Company reserves the right to exclude or eject any persons from the Event or the Stadium who it shall reasonably consider to be objectionable (including any person engaged by the Customer to provide entertainment or perform any other duties at the Event)
  12. All dietary and vegetarian meals need to be ordered a minimum of 72 hours prior to event, and this will constitute the number catered for the function
